Terms and Conditions
In order to maintain a consistent approach whilst delivering exceptional customer service, Nepal Convivial Trek and Expedition has introduced clear set of Terms and Conditions to avoid ambiguity and manage customers expectations about the services our company have agreed to provide. our Term and Conditions are designed to protect customer rights , safeguard the risks and avoid legal disputes between two parties.
These terms and conditions should be agreeable between both parties, therefore, first party or Nepal Convivial Trek and Expedition, hereinafter referred as only “Nepal Convivial” and second party or customer, hereinafter referred as “Clients”.
We would like to request you to have a complete understanding and consideration of our general terms and conditions before booking a trip with us. Our Terms and condition are effective from the date of our Booking confirmation.
1.Booking Condition:
Booking of any tour, package or services should be made through a written email or online booking submission. Before confirming your booking, please feel free to inquire us as much as needed regarding the service your are about to book and we will try to reply and assist you as soon as possible. Booking Confirmation email will be sent with all necessary booking requirements within 2-3 working days.
During your Trekking Tour, accommodation will be provided in Twin Sharing Basis either in rooms or tents as per the type of Trekking Tour. Therefore, single supplement charge will be charged for any individual who do not have another participant to share a room or tent. Single Supplement will be also charged to those individual requiring single room or tent during the trekking tour.
We would like to request you to inform us about the need of double or single room in advance. If the changes are required on the tour which has been already booked, Nepal Convivial reserves the right charge compensation.
2.Payment:
We require you to make an advance payment of 20% of total Tour Package upon the confirmation of Booking. Please notify us about the advance payment as payments are sometime not released for international payments from your bank. Upon the receipt of your advance payment, we will immediately inform you about the arrival of your pre- payment.
Two Weeks prior to your start of your tour, the remaining payment should transferred to our bank account or can be paid cash upon arrival in Nepal.
According to our Payment Terms, clients will be responsible for any bank charges occurred during remittance.
3.Booking Cancellation and Refund Policy
Cancellation of any confirmed booking should be made in written through email to our official email address. Upon confirmed cancellation following cancellation charges are levied:
20% of Total Tour Cost:
20% of Total Tour cost will be charged as a cancellation charge, if the cancellation is made prior to 46 or more days from the date of tour departure.
40% of Total Tour Cost:
40% of Total Tour cost will be charged as a cancellation charge, if the cancellation is made prior to 30 – 45 days from the date of tour departure.
50% of Total Tour Cost:
50% of Total Tour cost will be charged as a cancellation charge, if the cancellation is made prior to 15 – 29 days from the date of tour departure.
70% of Total Tour Cost:
50% of Total Tour cost will be charged as a cancellation charge, if the cancellation is made prior to 8 – 14 days from the date of tour departure.
85% of Total Tour Cost:
50% of Total Tour cost will be charged as a cancellation charge, if the cancellation is made prior to 1 – 7 days from the date of tour departure.
100% of Total Tour Cost:
100% of Total Tour cost will be charged as a cancellation charge, if the cancellation is made on the date of tour departure.
after deducting any cancellation charge levied, Client will be refunded applicable balance amount from the total amount received by Nepal Convivial.
4.Client’s Obligation
upon the confirmation of booking, Client will be responsible to provide necessary personal information required to Nepal Convivial to organise the tour. Necessary documents like passport copies, passport sized photo and signed copy of declaration of assumption of liability should be supplied by Clients.
Obtaining passport and travel visa shall be a sole responsibility of client. The passport should be valid for at least 6 months beyond the intended date of return. The clients shall be responsible for providing TNT with correct, complete and accurate information regarding personal details including physical disabilities.
5.Changes in Booking and Itinerary
We would like to request for a prior notice if any adjustment or alteration is required in the confirmed tour plan. In the event of unforeseen circumstances like Weather conditions and natural disasters, clients may be occasionally obliged to discontinue the tour on the given route. Therefore, Nepal Convivial is not responsible for any Unsuccessful Tours caused by such conditions.
Client will be liable to pay any expenses and additional costs resulting from the changes made.
Nepal Convivial will always aim to 100% accomplishment of the booked trip to complete satisfaction with special personal and individual services . In the case of shortage in the availability of hotels, domestic flights or other means of transportation, Nepal Convivial reserves the right to changes without a prior notice but clients will be immediately informed.
6.Trip Postpone
Client is required to send us written notice if the confirmed trip is to be postponed to other dates due to any reason. Confirmed trip can be postponed to any safe, suitable and convenient dates in future without having to pay any additional charge of postpone. We may ask you to pay for the costs increased due to inflation or any other economic factors, if the postponed date is more than a year from the actual confirmed date.
7.Tour Discontinuation
The client is not entitled to any refund, if personally discontinue the tour at any point of the time of itinerary and tour plan.
8.Risk and Liability (Disclaimer)
Nepal Convivial shall not be responsible for any delays and alterations in the Itinerary ,Tour plan and expenses incurred directly or indirectly due to unforeseen circumstances like natural disasters, changes in the rules and regulation of government, sickness, closure of path and routes, flight cancellation, accident, breakdown of transport, weather, blockades due to political unrest, or any such incidents beyond our control. Any extra costs incurred by such circumstances is a clients liability, therefore, travel insurance is highly recommended.
Nepal Convivial will not be responsible for any loss, injury or damage to person or property, or otherwise with respect to any accommodation, transportation or other services resulting directly or indirectly from force majeure, accidents, strikes, dangers, fire, thefts, epidemics, or any other causes beyond our control.
9.Cancellation by Nepal Convivial
If Nepal Convivial is required to cancel a booked trip due to unforeseen circumstances like war, natural disasters, conflict, unfavorable weather conditions, etc., We shall be pleased to suggest an alternative tour of a similar standard. However, in the situation where an alternative tour is failing to satisfy the clients, all the money paid by the clients shall be refunded. Any other expenses incurred by the clients as a result of this booking shall be entirely their responsibility.
10.Travel Insurance
a comprehensive travel insurance package is mandatory for all our clients to join any of our trekking, tour and adventures. The insurance must cover all the medical expenses, personal accidents, emergency evacuations, trip cancellations, loss of gears and natural calamity, theft of or damage to baggage, and personal effects.
11.Tour Leader Authority
Throughout the tour, clients are required to acknowledge and agree to abide by the decisions of the tour leader. The tour leader has full authority over the trekking itinerary, including without restriction, any alterations to the schedule, the site of the overnight lodging locations and the amount of time spent at each destination.Clients should notify their tour leader about any concern of their trek.
Additionally, the tour leader may exclude clients from the trek for any reason that may negatively affect or cause disruption to the tour experience, including any behavior without exception that may cause harm or danger to another client or a third party or committing any unlawful act.
12.Flight Delays/ Cancellations
Possibility of Flight delays and cancellations are high during bad and unpredictable weather conditions in remote and mountain areas, particularly in the Everest region, the Annapurna region, Dolpo, Simikot, and Jumla region. Therefore, it is advisable to carry some extra money to buy food and accommodations in case of delays. Nepal Convivial will not be responsible for any of the additional expenses. Clients are also advised to reserve extra days to compensate any possible delays in order to avoid unsuccessful tour due to time shortages.
